Orders delivered in batches are paid by batch. Misidentifying a milestone by even one batch can result in an overpayment or early payment. Business and finance managers at Chilean importers should first put the batch schedule, arrival records, and invoices into one index, then check each batch to establish how far payments have progressed.

This article breaks batch verification for local contracts and payments into three steps: milestones, invoices, and sign-offs. Staff can follow them for each batch. Business decisions remain subject to the contract, the actual vehicles, and destination-country requirements. Tax filings should follow current official information.

The checks and holds described here are Starvia's operational recommendations. They do not present internal company procedures as mandatory local requirements. Matters within the authority of government agencies must be confirmed by the responsible local party.

Check Payment Milestones by Delivery Batch First

When a payment request arrives, retrieve the contract's partial-delivery schedule. Confirm the batch number and the payment percentage and timing agreed in the contract, then check the arrival records to verify whether that batch has arrived or passed acceptance. If the batch and milestone do not match, put payment for that batch on hold until warehouse or logistics staff sign off on its arrival status.

Whether arrival precedes payment or payment precedes arrival depends on the contract. Do not advance a milestone simply because "the customer says this batch is on its way." Batches that have not arrived retain their existing status, with no advance disbursement.

How to Match Invoices to Batches

Assign each invoice to a specific batch and vehicle list before checking it for payment. Update the corresponding milestone only when the invoice amount and currency match the contract amount for that batch. If an invoice's allocation is unclear or it combines multiple batches, return it to the issuer for a separate breakdown and explanation. The payment team should not split it on its own.

If two invoices reference the same charge, retain both invoices and document the discrepancy without counting the charge twice in the payment amount. Enter the invoice check results in the invoice-to-batch matching record for shared use by finance and review staff.

Who signs off on partial-delivery payments?

The order moves through the following four items, with each signed off by batch.

Checkpoint Requirement for Advancing to the Following Milestone Situations That Trigger a Hold Role Accountable
Batch and arrival milestone cross-reference Arrival status and payment percentage for each batch match the contract batch schedule Hold payment for the affected batch if its batch or milestone does not match Contract reviewer
Invoice-to-batch matching record Each invoice corresponds to a specific batch and vehicle list Return invoices combining batches or showing mismatched amounts to the issuer for clarification Finance reviewer
Payment hold log Missing items, responsible person, and conditions for resuming are documented Once materials arrive, resume from the original stopping point without reviewing the entire order again Contract reviewer
Resumption conditions page An authorized role signs off on resumption and records the approved batches Do not update milestone status until the conditions are met Payment approver

After the contract reviewer confirms the batches and invoices, the finance reviewer checks the payment receipt information. The payment approver releases only verified batches. A chat message saying "this batch has arrived" cannot replace an arrival record, and verbal confirmation does not change the payment sequence.

How to Hand Off Batch Payment Results

After each batch payment is completed, enter the payment date and supporting-document index in the batch and arrival milestone cross-reference. Unpaid batches remain pending verification. The resumption conditions page should specify the materials and sign-off roles needed to move that batch forward again.

For the next batch's quote request or replenishment, the batch schedule and invoice verification approach can be reused, but a payment conclusion for an individual batch cannot. Create milestone records for new orders based on their new batch arrangements. Historical milestones are for reference only.

Recheck partial-delivery payments before handover

This recheck covers only the payment chain for the same batch. Update the resumption conditions page only when the batch numbers on the arrival record, invoice, and payment request all match. If any record is missing or a milestone is misaligned, hold that batch and document what is missing.

The payment hold log should list unresolved fields and the person taking over. Resume at the original stopping point to avoid repeating the review of the entire order.

FAQ

Can payment follow the later batch milestone?

No. Each payment milestone corresponds to a specific arrival batch, and batches that have not arrived retain their existing status. Wait for the arrival or acceptance record for that batch to be signed off, then request payment at the contractual percentage. Do not advance the milestone early.

How should we pay when one invoice covers two batches?

Return it to the issuer to be split so that each invoice corresponds to its batch and vehicle list. Hold both batches until the invoice is split, then check them separately against the batch and arrival milestone cross-reference. Do not include a combined invoice directly in the payment amount.

Can a customer's chat message confirming receipt of the goods authorize payment for that batch?

No. A chat message is only a lead. Before payment, obtain an arrival sign-off from warehouse or logistics staff and record it on the resumption conditions page. Without a written arrival record, keep the batch on hold and do not proceed on verbal confirmation.

Does an invoice amount that differs from the contract for one batch affect other batches?

Hold only the affected batch. Batches that have completed verification are unaffected. Record the discrepancy in the payment hold log and return it to the invoice issuer. Other batches continue according to their own milestones; one conclusion must not be applied to the entire order.

Whenever a Chilean order calls for a check on partial-delivery payment milestones, submit the vehicle or order identifier, available materials, and questions requiring confirmation through the Starvia contact page or WhatsApp. Then use this article's table to check available vehicle inventory and export documentation item by item.
