Intended audience: Chilean dealers, service providers and procurement leads responsible for import records, customer files and repair arrangements.
Core assessment: Actionable recall communication depends on matching recall scope to accurate VINs, reaching customers and retaining retrievable service records. Model names, sale dates or bulk messages alone cannot establish whether a particular owner is affected or adequately support later communication.
Chile's SERNAC statutory guarantee page helps define consumer guarantee information and business communication responsibilities. It does not replace legal judgment for each specific service action, but reminds dealers not to treat consumer communication as an internal after-sales note. For vehicle technical rules, the UNECE vehicle regulations page explains the framework; it does not mean Chile has approved any specific vehicle version.
Customs documentation teams start with the VIN identity chain
Customs clearance and import documentation teams connect purchasing files, shipping documents, arrival acceptance and internal stock numbers to the same vehicle. When recall information arrives, do not identify customers by model name first; check VIN format, complete VINs, batch documents and sales status. Mark sold, in-stock, resold, repair-custody and unlocated vehicles separately rather than combining them into one “notified” total.
Reference-vehicle materials assist internal version comparisons. If a customer file contains a Kia Sportage, check each VIN and campaign scope against the formal recall notice. The model page does not show an individual vehicle's recall completion status; notifications, appointments and service evidence need separate retention, and the webpage cannot justify resuming a Chilean customer's vehicle-use arrangements.
| Vehicle status | Evidence the documentation team must check | Information for after-sales |
|---|---|---|
| Delivered to customer | Contract VIN, delivery confirmation and customer contact version | Reachable contact, last confirmation date and vehicle location leads |
| Still in stock | Arrival acceptance photographs, warehouse location and VIN list | On-site verification task and sales-hold notice |
| Resold | Original sales file, resale record and known contact route | Party needing relocation and communication audit-trail requirements |
| Identity pending confirmation | Document differences, missing fields and supplementary-material list | Reason it cannot enter the completed-notification scope |
After-sales supervisors turn notifications into booked appointments
Separate notification content clearly: which vehicle is involved, what the customer must confirm, what documents to prepare before an appointment, and what records service completion will produce. Avoid a vague “please act promptly,” which leaves customers unsure whether it concerns their vehicle. Use distinct statuses for unreachable customers, declined appointments, vehicles no longer local and information pending checks, retaining contact dates, channels and outcomes.
Return to the SERNAC page to check guarantee information and communication responsibilities. In customer-facing text, separate facts, pending matters and service arrangements; before VIN matching is complete, do not describe a possibility as a confirmed matter affecting the vehicle.
Procurement leads require supplier records other teams can use
Procurement need not send notifications personally, but should provide for document handoffs in contracts and checklists. These include model and version records, VIN list versions, actual delivery-photograph indexes, part identification records, technical bulletin contacts and after-sales escalation routes. During a first trial shipment, checking these alongside staged-payment evidence reduces unusable records discovered after delivery.
Contracts can require suppliers to provide vehicle identification and technical records they hold after receiving relevant information, without presuming a recall will occur, a vehicle will be repairable or a customer will accept an appointment. Technical-document limits also need clarity: the UNECE vehicle regulations page explains an international framework, while specific import, registration and service requirements need confirmation against current circumstances.
The Minimum Three-Party Handover Package
Each vehicle entering service arrangements should have records that can be reviewed together. The priority is that every material links to the same VIN, customer status and service action; the number of forms matters less. Later VIN corrections, contact updates or changed service dates should retain update times and sources.
| Handover stage | Customs clearance and documentation team | After-sales team | Signal procurement should review |
|---|---|---|---|
| Scope comparison | Confirm VIN list source and version | Mark vehicles available for appointment | Do any VINs in scope remain unconfirmed? |
| Customer contact | Provide available contact files | Record channel, date and feedback | Is there a follow-up route after failed contact? |
| Dealership service | Provide vehicle identity verification basis | Record arriving VIN, work items and date | Can service records link to the original notice? |
| Archiving and review | Retain document update history | Separate completed and incomplete statuses | Are incomplete matters managed separately? |
Do Not Treat “Sent” as Service Completion
Sending a text or email, or keeping a call record, proves only that communication was attempted. Dealers need to manage each VIN's current state: awaiting matching, awaiting contact, contacted and awaiting appointment, arrived, missing documents or requiring renewed communication. All three parties should share status definitions so monthly reviews do not find the same vehicle with different conclusions in two systems.
When customers ask about guarantees or related responsibilities, respond using applicable contracts, specific facts and current official information rather than generic scripts in place of checks. Technical-rule materials should also identify versions and sources so international frameworks do not become local approval conclusions.
FAQ
Can a recall appointment begin if a customer provides only a plate number or model name?
An inquiry record can be opened first, but the complete VIN and identity documents should be checked before booking. A model name alone cannot confirm inclusion in a specific scope.
Must unsold stock vehicles be included in the communication list?
List them separately as in stock. After-sales can arrange on-site checks and internal handling, while documentation retains corresponding acceptance and storage information.
How should expired customer contact details be recorded?
Record channels used, dates, results and the next information source. Do not mark unsuccessful contact as completed notification.
Must the original notice be retained after service completion?
Yes. The notice, VIN-matching basis, appointment records and service records form a retrievable chain for later inquiries.
If you are preparing a VIN notification log for vehicles sold in Chile, describe your current file structure through the Starvia contact page, or discuss a shared customs-documentation and after-sales handover checklist on WhatsApp.
