The invoice and the packing list perform different roles. When a difference is found, first circle the affected item lines and VINs, then check the actual loading; do not delete unexplained vehicles or accessories just to make the two tables look the same.
First Separate an Amount Difference from a Goods Difference
The invoice handles the transaction description and the amount; packing materials describe how the goods are organized. Free accessories also need accurate declaration; how their documents are handled is checked by the issuer and the Colombian broker, and cannot be understood on your own as requiring no listing. The WCO Data Model can support field correspondence; DIAN is the entry point for checking local procedures.
It is advisable to create a difference worksheet that keeps the original invoice text, the packing description and the physical-vehicle check basis, with a separate column for open questions. When a difference in short names or translated names appears, first ask the supplier to explain the name relationship; when a quantity or vehicle identity does not match, obtain the on-site record from the loading party. The person compiling the worksheet only marks the conflict and does not change it, on the issuer's behalf, to the value they think is right.
The order in which the documents were obtained can first be organized around the affected entries, to see whether a new packing document was paired with an old invoice. Before the versions are separated, do not keep forwarding summary tables to the broker. When asking the issuer, attach the item line and the difference location that allow the matter to be located, instead of only saying that the correct documents should be resent.
Issuing Responsibility for the Difference Cannot Be Blended
| What differs | What to compare | Who corrects it |
|---|---|---|
| One extra vehicle in quantity | Physical vehicles and loading records | Loading party confirms, then notifies the documentation side |
| Amount changed | Contract and discount approval | Invoice issuer |
| VIN written wrongly | Nameplate and original vehicle list | Party authorized to issue or correct the document |
The warehouse can confirm the loading content against the physical goods, the documentation officer organizes the issuer's replies, and procurement reviews the contract scope. If a vehicle or accessory was removed temporarily, have the person who did it keep the basis for the removal and its destination, then let the person responsible for documents decide which materials need to be synchronized. Warehouse staff must not change the transaction amount directly to resolve a physical difference.
It is advisable to mark single-vehicle errors and shared-document errors separately. When a master list is involved, trace along the affected item lines to see which other vehicles reference it and determine the document scope to pause sending. For materials already given to the transport party, ask it to confirm whether they enter subsequent processing, and arrange the correction notice according to the actual state.
After the Correction, Confirm the Old Documents Are Withdrawn
Send the new version to the warehouse, the transport party and the broker, and require confirmation of receipt and of stopping use of the old version. When checking the Hyundai Tucson L, the model webpage only assists name identification; this vehicle's VIN or declared value cannot be filled in from the page.
Trace from a Loading Adjustment to Document Receipt
Example only; the contract and the physical vehicle prevail. An accessory traveling with a given VIN is temporarily removed, the packing record has been changed, and the invoice attachment still follows the old content. Have the warehouse confirm the removed item and where it is kept, procurement checks the two parties' arrangement for the missing item, and the documentation officer submits the difference to the party authorized to issue the document. After the broker confirms what the declaration needs, send the corresponding documents.
After the new version arrives, it is advisable to write off the original difference worksheet item by item and keep the withdrawal marking of the old version. Ask each actual recipient to reply with the version in use, and verify that its attachments can be opened and contain the entries involved. Links that have not returned a receipt keep being followed up; an email having been sent is not proof that the other party has stopped using the old document.
FAQ
Can a one-letter error be corrected by hand?
Follow the correction procedure accepted by the document issuer and the broker, and keep the basis for the change.
Can the documents be ignored when the goods are correct?
No; the physical vehicle being correct does not mean the declared data can continue to be used.
Is writing a zero price for free accessories enough?
The specific valuation and declaration method are verified by the broker; do not simplify them on your own.
Must all vehicles be paused?
First decide whether the error affects one vehicle or a shared document, then determine the pause scope.
