The position of a vehicle inside the container and the customer allocation are two different things. After arrival, count and receive vehicles by VIN first, then check the orders; when the unloading order changes, customer ownership must not move along with the row number.

Treat the Loading Plan Only as a Receiving Starting Point

Prepare the container number, vehicle position, VIN and accessory list in advance. When a BYD Seagull is unloaded, update the record with the actual identification and inspection results; do not carry over the previous row's vehicle information just because the appearance looks the same.

Receiving finding On-site handling Order handling
Order differs from the plan Correct the actual position correspondence Keep the original VIN ownership
Vehicle items missing Register and ask the loading party Inform the affected delivery items
Vehicle has new damage Preserve evidence and segregate Pause release of that VIN

A receiving task can put the transport position and the customer order in separate columns: site staff first fill in the actual identification results, and the allocating staff then check the order relationship. When the unloading order changes, keep the original plan for comparison and do not copy whole rows of customer information along with the position. Vehicles whose identity cannot be viewed safely are marked pending verification before confirmation is arranged.

Accessories are recommended to be registered under the vehicle they belong to; items stored centrally for the moment note the holding location and the ownership basis. Accessories of unclear origin are kept separately while records are sought from the loading party; they are not distributed to vehicles by appearance on average. Usage or damage changes found at receiving follow that vehicle's entry to the inspection staff.

Confirm the Deliverable Allocation Only after Receiving Is Complete

The WCO model provides a reference for data correspondence and DNIT is used to check the regulatory formalities involved. Neither decides which customer should receive which vehicle. The allocator approves on the basis of the received vehicles, the contract and the customer's accepted conditions, and keeps the reason and consent record for any vehicle change.

Site differences can first be recorded with the actual finding and the notified party; the order owner judges which delivery arrangements are affected. While missing items are not yet completed, an internal allocation intention may remain, but the actual state is explained to the customer. When a vehicle change is needed, sales checks the customer's accepted conditions, documentation staff examine the related materials, and only then is an adjustment decided.

After allocation approval, review whether the vehicle label, order and delivery list agree. Inventory staff do not handle swaps between customers on their own, and sales does not hide a VIN change by editing the external name. Previously issued instructions note the withdrawn scope, and the receiving staff confirm that the current record is used.

A Drill Where the Unloading Order Differs from the Customer Ordering

Example only; the contract and the physical vehicle prevail. A given VIN is unloaded earlier than planned and the original row in the on-site form corresponds to another customer. The receiving person can create a position record for the actual vehicle, not carry over that row's customer information, and hand it to the allocator to check against valid orders. After identity is confirmed, record the actual destination; the original loading order stays as a historical reference.

If this vehicle also has newly discovered missing items, record the replenishment task and the affected scope, and delivery staff wait for the corresponding confirmation. During the drill of moving vehicles inside the container, keep checking the actual labels so a correct receiving is not followed by a wrong allocation because the position changed. The documents the customer sees and the internally deliverable state are finally verified by the responsible person.

FAQ

Can the same container number share one condition conclusion?

No. Check each vehicle and keep each vehicle's anomalies separate.

Can a vehicle be allocated while accessories are missing?

Distinguish internal reservation from a deliverable commitment and state the items to be completed.

What if a planned vehicle is not found?

Pause the quantity confirmation and re-check the loading, unloading and transport records.

Can vehicles be swapped freely between customers with the same configuration?

Adjust only after checking the contract, identity documents and the customer's accepted conditions.

When planning mixed-container receiving, provide a sample of loading and allocation fields without customer identity, via the Starvia contact page or WhatsApp.
