Multi-batch order financing should maintain contract quota, batch occupancy and vehicle-by-car ownership at the same time. Finance sees the total amount, business sees the VIN, and logistics sees the shipment batch; The three views must be connected by the same batch ID to detect duplicate occupation and missing releases.

This article uses the WCO Data Model framework for the standardized definition and reuse of cross-border data to arrange records. Its role is limited to process analysis of the Paraguay project and cannot replace contract or brand licensing judgment.

The amount change must be able to return to one car

Scraping periods, vehicle exchanges or partial cancellations will change the lot amount. If finance only updates the total amount and the vehicle list still retains the old record, the quota may be reused in the next batch. It is recommended to update the vehicle status, fund status and document status at the same time for each change.

Concatenate financing documents with an operation number

The Financial Transparency Rule Update, announced by the Central Bank of Paraguay on 4 September 2025 (month 9), requires regulated institutions to assign a dedicated operation number to each credit transaction and include that number in every related document, including promissory notes. The rules also require a mechanism for cancelling original documents after the loan is settled. This requirement applies to regulated financial institutions and does not imply that all supplier credit arrangements use the same format.

For car batch management, this number can be used as the primary key for financing, and then associated downwardly with the batch number, invoice number and VIN. When a vehicle change occurs, the original VIN is first marked as disassociated and the old record is retained, and then a substitution relationship is added. When settling, check the balance return to zero, the guarantee or promissory note processing status, and the vehicle list at the same time to prevent the financial account from being closed and the vehicle account still showing the occupied amount.

How to keep the three accounts in sync

Business node Information should be left Judgment function
Contract account Approval amount, currency and validity conditions Control total exposure
Batch account Drawdown, repayment and release status Position each capital action
Vehicle account VIN, invoice line, and shipment batch Avoid occupying more than one car
Abnormal account Cancellations, Substitutions, Damages and Refunds Keep the reason for the adjustment

When changing cars, cancel the old association first

When the supplier proposes to replace the VIN, the sequence of operations should be written into the process: freezing old records, checking new vehicles, updating invoices and shipment information, re-approving the difference, and finally releasing the old credit. Just sending a new VIN in chat will cause finance and logistics to use different versions.

Regarding the multi-batch financing ledger, the following materials can be put into the same file:

  • Contract and drawdown number
  • The amount vested per car
  • Payment and refund supporting record
  • Batch status change time
  • Approval Chain for Replacement Vehicles

Stop reconciliation first when orphan records appear

When it is found that there is no vehicle for payment, there is no batch of vehicles, or the same VIN appears in multiple unclosed batches, you should stop adding drawdowns. Complete the reverse tracking first, and then decide to amend the ledger or adjust the transaction documents.

Use a cross-batch exchange to inspect three accounts

  • Input fields: original VIN, new VIN, order batch, invoice, financing limit occupation, difference processing, cancellation of supporting record, approver.
  • Stop or Continue Rule: When changing cars, first remove the association between the original VIN and the credit limit, and then establish a new association; the two actions cannot be completed with one overwrite record.
  • Delivery results: The order account, vehicle account and financing account each retain the same operation number to facilitate the discovery of isolated records.

FAQ

Can a batch of cars correspond to multiple payments?

Yes, but coverage should be documented for each payment and be able to be rolled back into the same batch and contract.

Will the credit limit be restored automatically after the vehicle is cancelled?

Automatic recovery should not be assumed. Cancellation, refund or replacement records should be completed according to the financing agreement, and then the authorized person will update the available limit.

Who maintains the VIN ledger?

Business can be entered, finance and logistics can verify the amount and shipment status respectively, and the final responsible person needs to be clear.

Use a cross-batch swap to do a stress test

Submit the contract amount, two batches of vehicle lists and one vehicle replacement record to Starvia Contact Page to check whether the ledger can be fully traced back.

For multi-batch financing, you can first sort out the candidate cars from Starvia New Car Catalog, and then refer to FAQ to confirm the general process. The consulting materials should list the financing operation number, batch number, invoice number, VIN and replacement record.
