A vehicle may not yet have been handed to a customer, yet it is already registered or used for display. Master data should separate registration status, usage and sales availability; the single word "new" cannot cover all the facts.

Every Kind of Status Has Its Own Evidence

For a Toyota Camry HEV, link ownership, import, registration and usage records per VIN. Catalog classification is only for searching; it cannot replace the Paraguayan authority's judgment of the vehicle's nature. Import classification matters are verified with DNIT and the broker.

Status category Basis Who can update
Legal and registration Official documents and processing results Authorized documentation staff
Usage and condition Test-drive, maintenance and inspection records Inventory and technical staff
Sales availability Order occupation and delivery restrictions Allocation owner

Each status category can have its material source, confirming person and current restriction note. Registration documents are checked by authorized staff, vehicle inspections are filled in by technical and inventory roles, and sales availability is linked to actual orders. Fields without obtained material stay pending confirmation; catalog defaults are not used to fill in legal or condition conclusions.

Status descriptions are recommended to be written down to understandable events: which result was received, what usage occurred and why allocation is currently paused. When descriptions conflict between roles, keep each side's basis first and ask the responsible person to confirm the affected scope. Do not overwrite unverified information just to unify what the interface displays.

Keep the Reason for Label Changes

A status update should answer who changed it, why and which material was used. When a vehicle moves from display to awaiting delivery, the usage change must be re-checked; switching a system label alone must not omit known facts from external communication.

An update request can keep the old status, the proposed change and the supporting documents, and the reviewer approves only the scope they can confirm. Matters requiring external results keep waiting; an internal label must not announce completion first. The original value and the reason for the change stay traceable, so it can later be explained when the status changed.

Before sales presents the vehicle externally, the confirmed information can be checked against the current vehicle entry; questions about registration nature or technical state are referred to the corresponding role. Descriptions that cannot be verified do not go into quotes or delivery documents. Display, test-drive and repair records are kept alongside the sales status; becoming salable again is not a reason to hide them.

Verifying a Display Vehicle Becoming a Customer Delivery Vehicle

Example only; the contract and the physical vehicle prevail. A given VIN moves from display use to awaiting delivery. Inventory staff can first organize the usage, accessories and inspection records for the period, documentation staff confirm the current state of the registration documents, and the allocation owner checks whether any other order restrictions remain. Update each corresponding status only after each item is confirmed separately.

The delivery consultant explains to the customer what has currently been verified and links the arrangements the customer accepted to the order. If new checks find problems, adjust only the related fields and follow-up tasks and keep the previously valid facts. The handover owner must be able to find the basis for the status change, not merely see an unexplained "deliverable" label.

FAQ

Is an unsold vehicle always brand new?

Check registration, usage and the applicable definition; do not generalize.

Can a cancelled order vehicle return directly to salable?

Confirm payments, documents, condition and other restrictions before adjusting.

Should one document conflict change all statuses?

First lock down the affected fields and business nodes; keep other facts recorded.

Who is authorized to explain the status to customers?

Sales cites the reviewed material and does not rewrite legal or technical conclusions on their own.

When checking vehicle data fields, state the registration, usage and purchase stage of the vehicle, via the Starvia contact page or WhatsApp.
