A maintenance handover should let the receiver know what the last check did, under what conditions the next check takes place, and whether any alerts are still unhandled. Handing over the keys does not mean the maintenance responsibility has been explained.
Find the Storage Requirements for the Matching Version First
Ford's published manual explains the storage matters for the traction battery and the low-voltage battery separately and serves only as a reference for record design. The BYD Sealion 06 EV must use its own applicable manual; the charge thresholds, charging frequency or disconnection methods of other brands cannot be copied over.
The technical lead can first confirm the manual's applicable version and the relevant storage sections, and the warehouse then proposes executable daily check tasks on that basis. If the manual is unclear, list the questions that need asking and wait for a qualified person to explain; managers should not fill this vehicle's plan with other vehicles' maintenance intervals on their own.
It is advisable to link the area where the vehicle is currently located, the key custodian and the applicable task sheets. When a vehicle is temporarily moved or the custodian changes, hand over the items that have not yet reached their execution conditions as well. The receiver confirms that they can obtain the required materials and have a channel to contact the technician; tasks that cannot be taken on are reported to the lead in advance.
Maintenance Records Continue with Every Change
| Event | Record fields | Handover of responsibility |
|---|---|---|
| Routine inspection | Instrument information, visible abnormalities, time | Custodian confirms open items |
| Charging or vehicle move | Reason for the operation, equipment and result | Operator and receiver are matched |
| Alert found | Symptom and the conditions at the time | Referred to a qualified technician for assessment |
The record sheet can state the status actually observed, the actions performed and the unfinished items. For content the inspector cannot see or cannot safely confirm, write the reason instead of copying "normal" from the previous sheet. When charging is needed, the responsible person first confirms the applicable operating arrangement, leaves a process record after carrying it out, and then returns the vehicle to the custody role.
For lost records, first ask the original operator for the source file or handover basis; if it still cannot be found, mark the gap truthfully. When a new physical check is arranged, note that it is a current check and do not backdate it as if it had been done earlier. Alerts that existed before remain matched with the results of later checks, so the sequence of time is not confused.
Do Not Backfill Record Gaps
If intermediate maintenance records are missing, keep the gap and decide from the actual state whether additional checks are needed. HSE stresses the importance of vehicle-specific information and working capability; sales and warehouse staff cannot handle high-voltage components on their own. Before delivery, re-check that both the maintenance and the vehicle checks are complete.
A Drill for When the Receiving Lot Has No Manual
Example, subject to the contract and the actual vehicle. One VIN was moved to a new storage area and the keys were received, but the maintenance materials are still with the original custodian. The receiver can first record the current state and the materials not yet obtained, and ask the transferor for the applicable manual and the open items; matters involving professional operations are not performed on the receiver's own initiative and are arranged by the technical lead.
Before the handover is complete, ask the receiver to restate the basis for the next task, who to contact when an alert appears, and which records must be taken along when the vehicle moves out again. Any part they cannot answer continues to be clarified. The delivery check is arranged separately; patrol records from the storage period do not replace the final delivery inspection.
FAQ
Does a normal low-voltage battery mean the traction battery is normal?
No. The two types of checks should keep separate results.
Is a handover also needed for a temporary move between storage sites?
Yes. Hand over the keys, the accessories and the next maintenance arrangement.
If the charge level has not changed, does it still need to be recorded?
Record the result of that check, so an unperformed check is not written as no change.
Should the battery be disconnected as a standard step?
No standard operation instruction applies; follow the corresponding manual and have a qualified person perform it.
When setting up a stock maintenance plan, you can describe the vehicle version, the storage environment and the manual materials available, and contact us through the Starvia contact page or WhatsApp.
