Buyers must check the bill of lading for accurate consignee details, vehicle information, and shipping terms to prevent costly delays and customs issues at the destination port.
The Bill of Lading (B/L) is the single most important shipping document in your vehicle import process. It serves as a receipt from the carrier, a contract for transport, and, most importantly, the title of ownership for the goods. Any error, no matter how small, can prevent you from claiming your vehicle and lead to expensive port storage fees.
When your export partner sends you the draft B/L for review, it is critical to verify every detail immediately. A careful check at this stage is the key to a smooth customs clearance process.
Key Items to Check on Your Bill of Lading
Here is a practical checklist of the essential fields to review on the B/L for your vehicle shipment:
Consignee and Notify Party Information: The "Consignee" is the legal recipient of the vehicle. This name and address must match your official identification or business registration documents exactly as required by your country's customs authority. The "Notify Party" is who the shipping line will contact upon arrival; this is often the same as the consignee or your customs broker.
Vehicle Description: This section must be 100% accurate. Cross-reference the Vehicle Identification Number (VIN), engine number, and chassis number with your purchase agreement. Also, confirm the vehicle's make, model, year, and quantity are correct, especially for multi-unit orders.
Port of Loading and Port of Discharge: Ensure the departure port in China and, crucially, your destination port are listed correctly. A simple typo here could result in your vehicle being routed to the wrong city or country, causing major logistical problems.
Shipping Terms (Incoterms): Check whether the document is marked "Freight Prepaid" or "Freight Collect." For CIF (Cost, Insurance, and Freight) shipments, it should state "Freight Prepaid," confirming that Starvia Automotive has handled the shipping costs as agreed. For FOB (Free On Board) terms, it will likely state "Freight Collect." For FOB (Free On Board) terms, it will likely state "Freight Collect."
Vessel, Voyage, and Container Details: Verify the name of the shipping vessel and the voyage number. If your vehicle is shipped in a container, the B/L must show the correct container number and seal number. These are physically inspected by customs agents at the destination port.
At Starvia Automotive, our Export Documentation and Customs Support team guides you through this verification process. We send you a draft B/L before the vessel sails, giving you a clear window to confirm all information is perfect, ensuring your final documents are error-free for a seamless import experience.
